1. About this policy
This policy explains how Westholm Core Pty Ltd (ABN 33 693 241 244) — Westholm, we, us or our — handles personal information collected through the WESTHOLM website and related correspondence. Westholm Core Pty Ltd is the sole operator accountable for this website.
2. Information we collect
The website is presently an information site. We collect personal information only when you choose to send it to us — principally by email. An email enquiry may collect:
- your name, email address and any other contact details you provide;
- the contents of your message; and
- correspondence and records created when we respond.
To operate and protect the website, our hosting and security providers may process technical information required to deliver and secure the site. We do not ask you to provide sensitive information, identity documents, financial credentials, passwords or confidential third-party information — please do not include these.
3. The AI assistant (preview)
The WESTHOLM AI Assistant is currently a non-transmitting preview marked “Coming Soon”. Its message input and send control are disabled. Because submission is disabled, the preview does not send, store or process any visitor messages, and no artificial-intelligence provider or backend is connected to it.
4. How we use information
We use personal information you send us to respond to your enquiry, to operate, secure and maintain the website, to keep necessary business and correspondence records, to prevent misuse and security incidents, and to comply with legal obligations. Sending an enquiry does not subscribe you to marketing; we will not send electronic marketing without a lawful basis and any consent required by law.
5. Sharing information
We may share personal information where reasonably necessary with:
- website hosting and security providers, so far as needed to operate and protect the website;
- Westholm Developments Pty Ltd, where an enquiry concerns a matter it is responsible for and sharing is necessary to respond;
- authorities or others where required or authorised by law; and
- another party with your consent.
Westholm does not sell personal information.
6. Retention and security
We take reasonable steps to protect personal information from misuse, loss and unauthorised access, and we keep it only for as long as reasonably necessary for the purpose it was collected, legitimate recordkeeping, dispute management, security or legal obligations. No internet system is completely secure; please do not send sensitive or confidential material by email.

You may ask to access the personal information we hold about you, or ask us to correct information that is inaccurate or out of date, by writing to contact@westholm.com.au. We may need to verify your identity, and some legal exceptions may apply.
8. Enquiries and complaints
Please direct privacy enquiries and complaints to contact@westholm.com.au with enough detail for us to understand the matter. If Australian privacy law applies and you are not satisfied with our response, you may be entitled to contact the Office of the Australian Information Commissioner at oaic.gov.au.
9. Before new features are activated
This policy describes the website in its current information-only state. It must be reviewed and updated before any live AI assistant, contact form, analytics, marketing or enquiry-handoff functionality is activated — including any collection of message content, use of an AI provider, retention settings, cookies or overseas processing that such features would introduce.
10. Changes
We may update this policy when the website, its features, providers or legal requirements change. The published version will show its effective date, and material changes will be reviewed before they take effect.
